Whilst every effort is made to produce up-to-date literature, either written and/or on its website, it should not be regarded as an infallible guide to current specifications. Your ContractPegasus Tours Terms & Conditions forms the significant agreement with you(2) our client, and any other named person included in your party, and forming the basis of the legally binding contract between you and Pegasus Tours. When you(2) complete a booking with Pegasus Tours you are accepting that you have full unequivocal authority to accept, and do accept, on behalf of your party the terms of these booking conditions The contract will be made subject to the terms of these booking conditions, which are not exhaustive, and which are governed by the English Law and the non–exclusive jurisdiction of the English Courts. Contract and DepositOn completing a contract form and returning it to our office, or directly by return of e-mail, our office will log your request, and, as it produces an ID No, your ID becomes live. From that time, we will forward the relevant paper work to you within 14 days. It is your responsibility to check very carefully that the confirmation information is correct. Pegasus Tours will not take responsibility for any omissions or errors however caused. Should there be any errors that could nullify the contract; you must contact Pegasus Tours immediately. This is your legal responsibility. Paying for TourYou will need to pay a deposit for each person named on the contract form. The balance must be paid a minimum of 8 weeks prior to the date of departure. If you do not pay the outstanding balance for your tour on or before the elected date, when it is due, Pegasus Tours reserves the right to cancel your contract with Pegasus Tours: you would be legally required to pay the cancellation charges detailed below. Can I cancel my Tour ?You, or any member of your party, may cancel at any time, although the cancellation must be made in writing and signed by the authority that made the contract with Pegasus Tours originally. You will be liable for the cancellation charges, shown below, to cover our costs and loss resulting from the cancellation, as reduction in room-occupancy could increase, for our remaining clients, the application of supplements for low occupancy of rooms, and event numbers. Scale of Cancellation Charges: More than 42 days before tour departure date we charge the full 20% deposit of cost for the tour 25 – 42 days 30% or deposit, if greater 15 – 24 days 50% 8 – 14 days 75% 2 – 7 days 90% 1 day & departure day 100% including voluntary termination whilst on tour Total tour costs Can Pegasus Tours Change my Tour ?Due to operational organization, the tour will have been arranged over a year ago. Pegasus Tours reserves the right at our discretion, without prior notice, to make changes to the said tour, which may be unavoidable, due to circumstances beyond our control. Virtually all changes are likely to be small, and we will try to keep you informed. If, after booking and before departure, we need to make significant changes to your tour, you may withdraw from the tour without penalty. A significant change includes a change in departure time, or return time, of more than 12 hours, also a change of departure point or quality of hotel, but excluding a change of vehicle when crossing the Channel. If you withdraw from the tour due to our making a significant change, or if we have to cancel the tour for any reason other than non-payment by you, we will refund in full your monies that you have paid. Should this situation occur, Pegasus Tours will notify you of the changes that we have unfortunately had to make. At this point, it would be your responsibility as soon as possible to inform Pegasus Tours of your decision, and within any timescale that Pegasus Tours may need to put in place, due to arrangements for all our contracts and our other clients. Do I Need Travel Insurance ?We very much recommend that all our clients take travel insurance to cover medical and repatriation costs, personal injury, loss of baggage and cancellation charges. You do not need to take our insurance, although you should have insurance that at least covers you to, or beyond our insurances. If you do not have adequate insurance, and/or should you require our help whilst on tour, Pegasus Tours reserves the right to reclaim from you any medical repatriation and any other expenses that Pegasus Tours may incur on your behalf, that would have been met by your insurers. Single OccupancySingle occupancy of rooms at hotels, when available, may be subject to a supplementary charge: the surcharge is always payable to Pegasus Tours. Coach SeatingA seating plan is used for our coach tours. Due to operational reasons, we may need to use a different coach, and this may incur different seating layouts. Pegasus Tours reserves the right to alter coach allocation seating, including seat positions that you have requested. Requests for particular seats can be made on most tours, although seating is normally on a ‘first come, first served’ basis. Therefore we recommend you complete a contract form as soon as you can You would be offered whichever seat/s is/are still available. Health and SafetyIn some foreign countries, standards of hygiene, safety and infrastructure may be of a lower standard than those to which we are accustomed in the UK. Therefore we strongly recommend that you practice due care and attention for your own protection. Further information can be obtained from your GP. A leaflet, “Health Advice for Travellers“, published by the Department of Health, would also be worth a read. Some people could also be at risk from discomfort or Deep Vein Thrombosis ( DVT ) if remaining immobile on a journey for long periods of time. Pegasus Tours recommends you consult your doctor, should you have ever had DVT, pulmonary embolism, a family history of clotting conditions, cancer or treatment for cancer, a stroke, heart or lung disease, or if you have had major surgery in the past 4 months. Pegasus Tours reserves the right to refuse any contract in the absence of a doctor’s certificate confirming that you are fit to travel. Pegasus Tours will be providing comfort stops as frequently as possible and also due to driver’s hours. At these stops we recommend that you at least walk up and down along the pavement - a little bit of exercise for a short time - you know, wave your arms about as well, but please do not go too far ! Transfer of Another Person to TourYou can transfer your tour to somebody else, provided that reasonable written notice is given, which must reach us at least 2 weeks before the date of departure. This other person must be able to satisfy all the conditions for the tour. Pegasus Tours reserve the right at our sole discretion to allow any transfer. Pegasus Tours will charge an administration fee of £30 per person for every transfer made, plus any additional costs caused by the transfer. You will remain totally responsible for ensuring that the tour is paid, in full, by the due date. Failure will automatically cancel the contract, and transfer could cause any other persons in your party the cancelation of their tour. Changing Your Tour ArrangementsChanges that you may wish to make will obviously be arranged to accommodate all parties concerned: Pegasus Tours will not guarantee the full co-operation of other parties. Any changes required must be notified to our office in writing and signed by the person signing the contract. Should we be able to fulfil your request, Pegasus Tours will charge a fee of £25, plus any additional charge for the facilities requested. A significant alteration would include a change of departure date, tour or hotel, or number of people on the tour Itineraries, Tour Documentation and PassportsYou are personally responsible for ensuring that you have all the correct document., Pegasus Tours does not and will not accept any liability for the loss or expense suffered by you or your party due to any incorrect passport or other document. If you are a British citizen travelling outside the United Kingdom, you must have a Full UK passport valid for a minimum of three months after your scheduled date of return to the UK. Prior to making a contract with Pegasus Tours, non-UK citizens must have passport and visa authority from the consulates of the countries you plan to visit. The name on the passport must be the same name as on the tickets. Should someone in your party change their name after the contract is made with Pegasus Tours, you must immediately inform us in writing so that our office can issue the contract in the new name. Pegasus Tours reserves the right at our sole discretion to cancel the contracts. Your tickets will be made out to you once the balance has been paid. On certain tours some documents may need to be kept until the relevant time for use: should you lose any travel document once issued to you, Pegasus Tours requires you to meet the full direct costs charged by the carrier/supplier for the issue of replacement or duplicates. Pegasus Tours reserves the right to modify itineraries to conform with competent authorities in the United Kingdom and any other sovereign state through which our tour will operate. No refund will be made due to any excursion, tour, or walk-about that is not taken. Passenger BehaviourPegasus Tours aim is to provide for all our clients a very happy and enjoyable tour. You must bear in mind that you are responsible for your behaviour and the effects it may have on other people. “The Chaos Theory“ Should you or any member of your party be abusive, disruptive or behave in a manner that we reasonably believe, in our opinion, could cause damage, injury to others, or affect their enjoyment of their tour, or that could damage property, Pegasus Tours reserves the right, at our sole discretion, after reasonable consideration, to terminate your contract/tour with Pegasus Tours. Should this happen, we will have no further legal obligation or liability to you. The coach driver/s, tour manager, ship’s Captain, or authorised official of any other means of transport, is entitled to refuse you boarding if, in their reasonable opinion, you are unacceptably under the influence of drink or drugs, or you are being violent or disruptive. If you are refused boarding on the outward journey, Pegasus Tours will regard it as a cancellation by you and we will apply cancellation charges according to the Scale of Termination. If your refusal is on the return journey, Pegasus Tours reserves the sole right to terminate the contract, and will have on further obligations or liability to you. Radios, Music Players, Mobile PhonesThese items must not be played in the coach, and phone use must be kept to an absolute minimum. Should I Need to ComplainShould you have a complaint during your tour, you should tell the Tour Manager or supplier at the earliest opportunity so that they may be able to do their best to resolve the problem immediately. Should they be unable to resolve the problem you have, you should complete a Tour Report form, which should be available from the tour, manager/driver. You will be given a copy of this report to keep. Should, you on your return remain dissatisfied, you should write within 28 days to the Events Office. You will need to quote your contract reference number, tour number, departure date, and the number or copy of the tour report form that you filled in at the time. If you do not tell us tell us at the earliest opportunity about a problem giving rise to your complaint, we cannot take steps to investigate and rectify the situation. In deciding how to respond to your complaint we will also take into account the date you first drew our attention to the concern of yours to our Manager or supplier. No-Smoking PolicyPegasus Tours reserves the right to cancel any contract with you due to your not observing Non-Smoking Policies in our coaches, hotels, and any visitor places we attend. Although some people may still smoke, and wish to do so quietly, without protest from other people, smokers must understand that it is now law that many places are restricted in allowing people to smoke on their property. PetsPegasus Tours are not designed for pets, mainly due to the racing car noise. Although Registered Assistance Dogs will be considered, Pegasus Tours reserves the right, at our discretion, to refuse their presence. GratuitiesIt is customary to give the Driver, and Guide ( if applicable ) a gratuity according to the level of service received. Notes Smoking: Please remember that it is now illegal to smoke in any buildings or vehicles Alcohol : No alcohol is to be consumed on any of our tour coaches Your luggage and your shopping is carried at the owner’s risk, and should be clearly labelled. All these clauses are not exhaustive Data Protection ActYour personal information that you give to Pegasus Grand Prix Tours Ltd. (names, address, contact details, including sensitive information such as disabilities or dietary and religious requirements, and any other information given to us) will be properly protected. Although some details may well need to be used in finalising your tour details with hotels, coach companies, ferries, trains, and other relevant suppliers, such information will only be given out with your agreement of these full term and conditions of Pegasus Grand Prix Tours Ltd. Some security or credit checks may also need to be carried out, and public authorities, such as Customs and Immigration, may require information or as required by law. Pegasus Tours takes great care in ensuring the protection of your personal details at all times, and we will not disclose them to any person not authorised and responsible for any part of your travel arrangements.
